Creating and maintaining document templates

It is possible to create and maintain document templates that are used for the human resources management (HRM) and customer relations management (CRM) purposes. This way, you can save time by using these templates to create your letters and documents. Go to System/General/Settings/Documents settings, and under the CRM and HRM sections, click Word merge and  Letter Template: Maintain at Letter respectively. On the Documents settings screen, click New to create a new document template or Open to edit the selected document template.

Description

This screen is displayed when you click New on the Documents settings screen once you have clicked   Word merge at Letter under the CRM (or HRM) section in System/General/Settings/Documents settings.

Layout type

Select Mail merge to create a new mail merge template for letters or Quotation to create a quotation template.

Click this to create a new template for the selected layout type.

Note: Once you have clicked OK, You will be directed to Microsoft Word. If you go to System/General/Settings/Documents settings and click  Letter Template: Maintain at Letter under the HRM section, the system will directly open Microsoft Word once you click New on the Documents settings screen. In Microsoft Word, go to the toolbar and click Insert Merge Field to insert database fields into the document template.

Once you have completed creating the template, go to the menu bar, click Exact Globe and then select Save as to save the document template. You will see 2 options. At Document, type the name of the document template and at Subject, type the subject of the document template. These are mandatory. Next, click Save to save the document template or Close to exit. The templates you have created will then be listed on the Documents settings screen.
